Privacy notice

This notice explains how Ilo Meditation handles personal information when you visit our website, become a member, receive our emails or join a live session.

Who is responsible

Ilo Meditation is operated by Huggin Oy, Finland (Business ID 3476183-6), the controller of your membership and customer information. Contact us at hello@ilomeditation.com or Huggin Oy / Ilo Meditation, Lyökkiniemi 18B as 1, 02160 Espoo, Finland.

Information we use and why

• Membership and session delivery: your name if supplied, email address, signup date, chosen plan, trial status and membership history. We use these to provide your account, access and session emails, on the basis of our contract with you or steps you request before joining.
• Payments and accounting: billing details, country, payment status, subscription and invoice references. We use these to administer your subscription and meet accounting and tax obligations. Stripe processes your payment details; we do not receive your full card number.
• Support: messages you send us and our replies, to answer requests and resolve problems. The basis is providing the service or our legitimate interest in customer support and resolving disputes.
• Security and operation: technical information such as IP address, browser/device information, access logs and delivery errors, to run and protect the service. Our legitimate interests are reliability, fraud prevention and security.
• Email and site engagement: Ghost provides newsletter delivery, opening/click and website usage information where enabled. We use available information to understand delivery and improve our communications. Consent is used where required for non-essential tracking or marketing; otherwise we rely on our legitimate interest in understanding service performance.

Emails and your choices

We use email for sign-in, membership updates and the schedule and links included in your plan. You can manage newsletter preferences using the unsubscribe link in an email or contact us. Unsubscribing from emails does not itself cancel a paid subscription. If you stop schedule emails, contact us if you need help receiving session details. Optional promotional emails are separate from essential account and payment messages; you can opt out of direct marketing at any time.

Live sessions and your privacy

Sessions take place on Zoom. Zoom processes connection, device and participant information needed to deliver a meeting. Your display name, and anything you choose to share through your camera, microphone or chat, may be visible to the host or other participants depending on the meeting settings. You can keep your camera and microphone off and choose a first name or other suitable display name. Please do not share sensitive personal or health information in a group session.

Your membership is for live sessions and does not include a recording archive. If we plan to record participants or introduce a new use of session content, we will explain this beforehand and obtain permission where required.

Who processes information

We use service providers to deliver Ilo: Ghost for memberships, newsletters and the member site; Stripe for payment processing and billing; Zoom for live meetings; OpenAI Sites and its hosting infrastructure for the public website; GitHub for membership automation; Formspree for receiving withdrawal forms and emailing requests to us; and email, accounting and technical service providers as needed to run the business.

Access is limited to people and providers who need information for these purposes. Information may also be disclosed where required by law or to establish or defend legal claims. Payment and meeting providers may act as independent controllers for some activities, such as fraud prevention or their own account administration. Their notices describe those activities: Ghost, Stripe, Zoom and OpenAI.

International processing

Some providers process information outside Finland and the European Economic Area, including in the United States. We use applicable transfer safeguards, such as adequacy decisions or European Commission standard contractual clauses, where required. You can request further information or a copy of the relevant transfer safeguards by emailing hello@ilomeditation.com.

How long information is kept

Membership information is kept while your account is used and for as long afterwards as needed to administer it, resolve support issues and comply with legal obligations. Ending a paid plan does not automatically delete your free member account. You can request deletion at any time. A limited trial-used record may be retained where necessary to prevent repeated free-trial grants. Support and technical information is kept only as long as needed for its purpose, security or a relevant dispute. Billing and accounting records are retained for the periods required by applicable law; deletion requests do not override those obligations. Backup copies are removed through the applicable backup lifecycle.

Cookies and similar technologies

The public marketing pages do not include an advertising pixel added by Ilo. Our hosting, member sign-in and payment providers may use cookies or similar technologies needed for security, authentication and checkout. Ghost and other linked services explain their own use in their notices. Where consent is legally required for optional technologies, they should only be used after that consent. Browser controls can restrict cookies, but some account or payment features may then stop working.

Your rights

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. You can object to processing based on legitimate interests and to direct marketing. Where processing depends on consent, you can withdraw it without affecting the lawfulness of earlier processing. Contact hello@ilomeditation.com; we may need to verify your identity and normally respond within one month. You can complain to the Finnish Office of the Data Protection Ombudsman or your local data protection authority.

We do not use your information to make solely automated decisions with legal or similarly significant effects. The trial routine applies membership eligibility rules; contact us if you think access is incorrect.

Updates

We will update this notice when the service or processing changes and communicate material changes where appropriate. The date at the top identifies the current version.
